Private to you

My workspace

Journal + todos

My workspace is your own corner of Beagle: a journal page for every day, a todo list and a place for your own files, just for you. Open it from My workspace in the sidebar, just under the dashboard, or press G then J from anywhere. Everyone in the organisation has one, whatever their role, and nobody else in the organisation can see yours.

On the page, N adds a todo, J jumps into the journal, U uploads a file, T goes back to today and ← → move a day at a time. Press ? anywhere for every shortcut.

Who can see it

Only you. Your colleagues can't read it, and neither can your organisation's admins — there is no admin view of anyone else's workspace. It isn't included in search, in Ask Oscar's answers, in reports or in the organisation's data export. It is stored in Beagle's database and backups like everything else, so treat it as private from your team rather than as an encrypted vault.

Your daily journal

Each day has its own page. Write as you would in a notebook — it saves as you type. Use the arrows to go back to an earlier day or forward to plan ahead, and Today to come back. If you have the same day open in two tabs, the second tab will tell you the page changed and offer to load the latest version, so one never quietly overwrites the other.

Linking customers, projects and tasks

Type @ and start typing a name to link a customer, project or task. That record then shows a From your journal panel listing the days you mentioned it — visible to you only. A colleague opening the same customer sees nothing of your notes. You can only link records you can open yourself.

Your todos

Type a todo and press Enter. Tick it off when it's done, click it to add notes or a due date, and drag the handle to put your list in order. Show completed brings back your recent done items if you ticked one by mistake.

Making a todo a team task

Managers and admins can turn a private todo into a normal team task with the Make this a team task button. The task is assigned to you and is visible to the team like any other task, so your notes are only copied across if you tick the box to share them. Alongside your todos you'll also see Assigned to me — the team tasks already assigned to you.

My files

Keep your own documents under My files, at the bottom of the page (or the Files tab on a phone). Click Upload or drop files onto the panel — images, PDFs, Word, Excel and PowerPoint documents, text and CSV files, up to 25 MB each. Make folders (up to ten deep), and rename, move or delete anything from the buttons on its row. You have 1 GB per organisation; the bar at the top shows how much you've used. Files download rather than open in the browser, apart from images, which you can view with the eye button.

Like the rest of your workspace, nobody else in the organisation can see your files, admins included. They are held in Beagle's file storage and backups, so the people who run Beagle's systems could technically reach them — keep anything that needs stronger protection than that somewhere else.

Leaving an organisation

Your workspace belongs to your membership of the organisation. If you leave, or an admin removes you, it is deleted permanently — it isn't handed over to anyone. Use Download my workspace first to keep a copy: you get a zip with a Markdown file for each journal day, your todos, a JSON file with everything, and all of your files in their folders. Your files are deleted along with the rest. If you belong to more than one organisation, each has its own separate workspace.
